The Power of Closing the Loop

One of the simplest ways to improve the property management experience?

Close the loop.

It sounds obvious, but think about how often a landlord or tenant is left wondering:

“What happened with that?”
“Did anyone follow that up?”
“Are we still waiting?”

In property management, there are plenty of moving parts — maintenance, repairs, inspections, applications, arrears, trades and landlord requests.

Things don’t always go to plan.

But people shouldn’t have to chase you to find out what’s happening.

If you’ve contacted a tradesperson — update the landlord.

If a repair has been completed — let the tenant know.

If you’re waiting on an approval — keep them informed.

If you’ve promised to call back — make the call.

And if there’s nothing new to report?

That’s still worth communicating.

“Just a quick update — we’re still waiting on the tradesperson, but I’ll keep you posted.”

That small message can save someone from having to follow up.

Because closing the loop isn’t about having all the answers.

It’s about making sure people know what’s happening, what happens next, and when they can expect to hear from you.
